In any business, it’s important to know what you need to do and when you need to do it. That’s why Sage 50 Accounts 2009 comes with an in-built diary to help prioritise and remember every item on your daily workload. You can then set reminders for recurring tasks, and, as the diary also integrates with Microsoft Outlook, you can automate diary events.

When it comes to managing customers and suppliers, the new diary really comes into its own. You can link tasks to customer contacts, so you have all the details you need right then and there and don’t have to search around for numbers and addresses. And as you can associate times with follow ups, they can always be set when it’s most convenient – a touch that won’t be lost on your customers and suppliers, helping to create a positive impression and building on your relationship with them.

That’s why we’ve incorporated another clever feature into Sage 50 Accounts 2009 to let you see an instant view of the credit position of your business. Our improved cash flow lets you see your projected daily bank balance at any time – so you’ll always know exactly how much money is coming in and going out.

Our improved dashboard then let’s you see where your money is, how old your customer debt is, what’s due, what’s overdue, what’s disputed and what’s still to be allocated. So you’ll basically have all the information about your customer and supplier debt all in one place. You can then view it all as one big picture, or drill down into the detail to find specific areas from which to reduce your debt.

Your customer payments are your lifeblood, so which customers should you be spending time chasing for payments? With Sage 50 Accounts 2009, you’ll know at a glance which customers owe you money, and who are the most important to contact. Dates of promised payments are automatically added to the diary, and you’ll be sent a reminder to follow them up if they aren’t received. And if they have already been received during this time, Sage 50 Accounts 2009 will automatically update their status. So you can always be sure that the information you have regarding your debt is correctly allocated on the accounts, and avoid any unnecessary communications.

Whenever you generate a letter or statement, the details will automatically be recorded into the customer communication history – where you’ll also have the option of recording details of any telephone conversations too. So you’ll always have a full audit trail whenever you contact a customer.

New Sage 50 Accounts 2009 allows you to easily prioritise who you need to pay, and shows you the amount and date by which it needs to be done. This can even be viewed based on supplier and age criteria, so you can see what payment commitments you’ll need to make in the coming weeks and months, helping you plan ahead.

Collect, gather and simplify information about your money going out
Our improved Supplier Dashboard works in much the same way as the customer dashboard. It allows you to see instantly what payments are due today, which are overdue, how old your invoices are, which are in dispute, which you’ve promised to pay, and when you’ve promised to pay them. And it then displays all of this information alongside any diary events you need to complete that day. Basically, it’s all of the information about the money you owe, all in one place.

4. Give the right person the right message, on time, every time
Different people like to be contacted in different ways, and it’s important to bear that in mind when you contact your customers and suppliers. In order to build and maintain a good, profitable relationship with them, you need to know exactly who you need to chase up, when to get in touch, and how they like to be contacted.

Sage 50 Accounts 2009 has made this even easier for you, allowing you record and store every detail you have about your customers and supplier contacts, all in one place. Names, telephone numbers, email addresses, office addresses, their preferred hours to be contacted and all of their mailing preferences can all be recorded.

When you make invoice, letter and statement runs, you can use these details to send them via email in a batch. So you always know that your message will reach the right person. And as you’ll also have a range of letter templates at your disposal that can be sent directly to your customers and suppliers, it’s never been quicker, easier or more cost effective to communicate with your contacts.

If you have any payment disputes or information requests, you can quickly access them to monitor their progress. All contact between yourself and your suppliers can also be recorded on your communication history, together with a follow-up. Because there are so many reports that you need to run off on a regular basis, for example at the end of the month, why not do them all at once? Our new batch reporting feature allows you create your own batches of reports and run them off all in one go – whether that’s as Excel (CLS), PDF or email files, printed documents, or just previews. So you can be sure that no report will ever get missed.  You can also continue to work on Sage 50 Accounts while the reports are running – meaning this extra time saved could be used to make a call to chase money.

With our new retrospective bank reconciliation report, you’ll be able to see the reconciled balance of your account at any given time – which is particularly useful at month and year end. So you’ll no longer have to spend hours working out what the balance was on certain dates.
